Position Specific Description

Manatee Lagoon is seeking an event planner/venue rentals coordinator to promote and manage the rental business at its environmental education center in Riviera Beach, FL. The individual will manage client relationships from initial contact through event completion and final billing. Strong administrative skills are essential due to the multiple touchpoints involved in event management. The successful candidate must have proven experience as an event planner or organizer and maintain a flexible schedule to accommodate events on weekdays and weekends ranging from early breakfast meetings to evening receptions and galas. This is a full-time exempt position requiring excellent time management, communication, and sales skills, plus the ability to build productive business relationships and manage multiple projects independently.
 
Specific responsibilities include:

  • Working with groups to help them plan events, including room set-up, production details, parking coordination, and basic A/V support. Please note, details including the catering, décor, entertainment, guest invitees, special guests, advanced A/V support, are all handled by approved catering/special events vendors. Advanced A/V support must be handled by Florida Power & Light’s Marketing and Communications team or an approved contractor. This position acts as a liaison between the party renting the venue and the event caterers.
  • Overseeing event contracts, required deposits, and final payments associated with event bookings. This includes adherence to safekeeping and related accounting processes, including maintaining all documents related to bookings in compliance with NextEra Energy’s records retention policies.
  • Coordinating events with the Manatee Lagoon team to ensure all goes smoothly and necessary support is planned
  • Working with a special event planner/caterer to ensure event details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, and promotional material are handled
  • Coordinating and distributing a master event calendar showing all confirmed and/or tentative events for the following week/month for internal audiences at Manatee Lagoon and FPL
  • In conjunction with the Center Manager, ensuring compliance with insurance, legal, health and safety obligations
  • Proactively handling any arising issues and troubleshooting any emerging problems on the event day
  • Conducting pre-and post-event evaluations and reports on outcomes
  • Proposing ideas to grow venue rental business, improve provided services and event quality
  • Staying informed on industry trends and tourism associations, and conducting market research to benchmark competitors, identify opportunities, and keep Manatee Lagoon’s rental offerings competitive
  • Tracking catering/special event vendor commission checks to ensure they are being paid in an accurate and timely manner
  • Managing the center’s booking platform
  • Working at least one day per week, including weekends, as manager on duty for center, as schedule allows

Required Qualifications

  • High School Grad / GED
  • Bachelor's or Equivalent Experience
  • Experience: 1+ years

Preferred Qualifications

  • Master's Degree
  • Project Management Professional (PMP)
